Who We Are

SongTakes is based in Calgary, Alberta, Canada. In this policy, “SongTakes,” “we,” “our,” and “us” refer to that organization.

Artists, bands, managers, and other account holders use SongTakes to publish content, manage their work, and connect with fans. Their own collection and use of personal information may also be described in notices on their websites.

Information We Collect

• Account and profile information: Your name, email address, account details, and information you provide about yourself, your artist profile, or your organization.
• Content and workspace information: Music, photos, videos, biographies, reviews, feedback, contacts, inquiries, project details, and other material you submit or manage through SongTakes.
• Fan subscriptions and submissions: Email addresses and other details submitted through artist subscription or contact forms, together with related subscription, verification, and preference records.
• Technical and activity information: IP addresses, browser and device information, session identifiers, pages viewed, referral sources, and interactions such as music previews, link clicks, and form submissions. This information may constitute personal information.
• Communications: Information you provide when contacting us for support, making a request, or reporting a problem.

How We Use Information

• Operate accounts, host artist websites and content, and provide the features you use.
• Manage artist subscriptions and deliver requested communications.
• Support collaboration, artist feedback, and contact and project management.
• Measure website visits, music engagement, and campaign results, and identify performance issues.
• Respond to inquiries, provide support, and communicate account or service information.
• Protect accounts, investigate misuse, prevent spam, and meet applicable legal obligations.

Where enabled, advertising tools may also be used to measure advertising effectiveness and support relevant advertising, subject to applicable consent requirements.

Artist Mailing Lists and Your Email

When you subscribe to an artist’s updates, SongTakes stores your email address and the details you submit. Where covered by your subscription consent, this information is available to that artist and their authorized team, including managers or collaborators with permission to manage the subscriber list.

Artists may download eligible subscriber lists and use external email services, such as Brevo, to send the updates described when you subscribed. These may include music releases, shows, merchandise, and other artist news. Your email address is not displayed publicly merely because you subscribe.

Artists are responsible for their campaigns, their handling of downloaded information, and compliance with applicable privacy and anti-spam requirements. SongTakes remains responsible for its own handling of personal information.

Following one artist does not subscribe you to other artists or to SongTakes promotional emails. Submitting a contact inquiry does not, by itself, subscribe you to a mailing list. Artist access and exports must be consistent with the consent under which the information was collected.

Unsubscribing and Managing Your Follows

You can manage your follows or request removal of your email through your SongTakes email settings. You can also use the unsubscribe link in marketing emails or contact the relevant artist to withdraw your consent.

Changes in SongTakes update our records but do not automatically update copies an artist previously exported. Artists remain responsible for honouring withdrawal requests across the mailing lists they use. For messages sent through an external email service, the unsubscribe link in those messages provides a direct way to stop delivery through that service.

If you need help with a subscription or continue receiving unwanted messages, contact us at privacy@songtakes.com. Unsubscribing from promotional emails does not necessarily stop essential account, security, or service communications.

Cookies, Local Storage, and Analytics

SongTakes uses cookies or similar technologies to support functions such as sessions, authentication, security, and preferences. Analytics features may also use cookies, local storage, and identifiers to measure visits and interactions.

Depending on the website and features enabled, analytics and advertising tools may include SongTakes analytics, Google Analytics, and Meta Pixel. Google Analytics helps measure traffic and visitor activity. Meta Pixel helps measure advertising results and may support targeted advertising.

These providers may receive information about your browser, device, and activity and may associate it with other information they hold, depending on the service, configuration, and your preferences. Artist websites may also include third-party content such as YouTube videos or Google Maps, which may collect information when loaded.

You can manage cookies and website storage through your browser settings, although blocking essential storage may affect how the service works. Browser settings may not prevent every form of data collection. Where consent is required for optional tracking, it must be obtained before that tracking takes place; this policy does not replace that consent.

How Information Is Shared

Information may be shared with:

• Artists and authorized team members: To provide the subscription, inquiry, collaboration, and management features you use, consistent with the purpose and permissions involved.
• Service providers: Providers supporting hosting, storage, email delivery, analytics, and other functions described in this policy.
• Public visitors: When you choose to publish a profile, website, review, or other public content, the information included in that content may be viewed and copied by others.
• Authorities or other parties where legally permitted or required: To comply with legal obligations or address fraud, security incidents, or threats to rights and safety.

Information an artist or manager uploads about other people must have been collected and provided lawfully. Account holders are responsible for having the permissions needed for their use of that information.

Where Information Is Processed

We use service providers to support hosting, storage, email delivery, analytics, and advertising. Personal information may be processed outside Canada, where it may be subject to local laws. Retention and Security

We retain personal information only for as long as reasonably needed to provide the relevant services, fulfil the purposes described here, and meet applicable legal requirements. Retention depends on the type of information, account status, and whether it is needed for matters such as resolving disputes or documenting consent.

Removal from an active mailing list may not delete every related record immediately. Limited consent, unsubscribe, security, or legal records may need to be retained, and residual copies may remain in backups until those backups are replaced or expire. Information no longer needed is securely deleted or anonymized.

We use reasonable safeguards to protect personal information against unauthorized access, use, disclosure, alteration, and loss. No method of transmission or storage is completely secure. We assess privacy incidents and make notifications required by applicable law.

Your Choices and Privacy Requests

You can update available account information in your settings. You may also contact us to request access to or correction of personal information, withdraw consent, request account or information deletion, or raise a privacy concern. We respond in accordance with applicable law and may need to verify your identity.

Some information may need to be retained for legal or other permitted purposes. Withdrawing consent or deleting information may limit the services we can provide; we will explain relevant consequences when handling your request.

For information independently managed by an artist, contact that artist as well. You can contact SongTakes for help identifying the appropriate contact or raising a concern about information handled through our platform.

Changes to This Policy

We may update this policy as our services and practices change. The date above identifies the latest revision. We will provide additional notice of material changes and obtain further consent where required. Updating this policy does not, by itself, authorize a new use of information previously collected under different consent terms.
